The Office of the Registrar is responsible for the maintenance of student records. The office provides registration support to the Pre-Medical and Medical Programs including program scheduling,preparing grade reports, managing student policy database, and reporting statistical data. The office oversees student certification and document preparation (pertaining to the licensure of graduates). Additionally, the office is also directly involved in the residency application process – ERAS.

Directory Information
"Directory information is personal information about a student that would not generally be considered harmful or an invasion of privacy and may be released without consent. - Change of Grade
Changes in a grade may be made only to assign a grade to previously incomplete coursework or if the instructor made an error in assigning the original grade. A Change of Grade Form should be completed and signed by the instructor, then submitted to the Registrar. The Registrar will amend the student’s record to reflect the change and issue the student a revised "Grade Report".
In the event that a grade change results in a change of student status (example: the student’s GPA falls below 2.0), then the Registrar will advise the Chairperson of the Promotion and Graduation Committee for committee review.

Medical Students
Add/Drop ClerkshipTo change the times of your clerkship assigned by your track complete the following steps:
- Complete the Add/Drop Clerkship form
- Obtain appropriate signature(s)
- Submit approved Add/Drop Clerkship form to the Office of the Registrar
Independent Elective Request Form ![]()
- Lengthening or shortening the duration of an existing elective. For example, RAD.104.NY – Introduction to Clinical Imaging is a 4-week elective. If you receive permission of the sponsor to shorten it to 2 weeks (minimum) or to increase it to 6 weeks, you would be creating an independent elective.
- Independent research for which must be approved by a sponsor.
- Working with a sponsor on an elective topic that is not represented in the existing Electives Course Catalog.
The course code for independent electives is IND.801.QH. Sponsors will not accept a roster with evaluation forms for any independent electives. Therefore, it is your responsibility to complete the top section and deliver an Elective Evaluation form to your sponsor. Return it to the Registrar at the completion of your experience.
If you selected a tutorial or independent research as part of your ABS requirement, treat the experience as an independent elective and submit a completed form to the Registrar. Enter the experience into your schedule using the appropriate course code and number. Finally, provide your sponsor with an Elective Evaluation form to be returned to the Registrar at the completion of your experience.
International Elective Request form ![]()
Once you have decided on where you would like to rotate, access the visiting student section of that institution’s website. You are responsible for following the application guidelines for the international institution and for submitting to Office of the Registrar all paperwork required by both the international site and WCMC-Q. At minimum, expect to do the following for every international elective you apply for:
- Download/upload the International site’s application, health form(s), etc.
- Print out the International Elective form. The form must be signed by you and your advisor. Your application cannot be processed until you submit the completed form.
- Complete your section of the international application and hand deliver the application along with your international elective form to the Office of the Registrar for processing.
- Allow 5-7 business days for processing all application requests.
- Unless otherwise noted in the Electives Course Catalog, the codes for electives in the United States and Canada are:
- MES.901.AW – 4 weeks
- MES.902.AW – 2 weeks
- Some international electives are listed in the Electives Catalog and have specific course numbers.
- For international electives outside the United States and Canada not listed in the Electives Catalog, use the code IND.901.AW when you schedule.
New York Eligibility
As provided by the law in New York State, a medical student is considered in the practice of medicine when performing clinical clerkships or similar function in a hospital. As a medical student, and if you are seeking to engage in clerkships for a period not to exceed 12 weeks, you must secure a letter of eligibility from the State Education Department. Submit the completed form to the Office of the Registrar. - Complete Withdrawal from WCMCQ

If a student decides to withdraw from Weill Cornell Medical College-Qatar (WCMCQ), with no intention of returning they must submit the Complete Withdrawal from WCMCQ to the Office of the Registrar. This form should be on file prior to the student’s departure. After the beginning of the 7th week, the notation “W” will be entered for the course(s) in which a student is registered. Please note that certain holds on a student’s account may prevent the release of academic records. It is the student’s responsibility to make certain all accounts are clear prior to departure. - Consent & Release

Students may withdraw from a full semester course up to the seventh (7th) week of the semester. Students withdrawing from courses within the withdrawal period will automatically receive a grade of W, which has no effect on the student's grade point average. It is the student's responsibility to withdraw officially from a course. Failure to withdraw formally may result in failing grades. - Cross University Registration

Cross University Registration provide students an opportunity to expand their academic experience by registering for courses at other Education City branch campuses. Students who are cross registered are subject to the academic regulations of the hosting campus. - Elective Evaluation
In order for you to receive credit for any elective, an original, completed white elective evaluation form signed and dated by the evaluator must be submitted to the Office of the Registrar. We strongly recommend that you take with you the form. Present the form to your supervisor at the start of your experience and ask him or her to complete it and return it to you in a sealed envelope with his/her signature across the seal as soon as you complete the elective, so that you may bring it back with you when you return to WCMC-Q.
As many of you will be rotating in different electives in the States, don’t forget to take a copy of this form and get your evaluator to sign it and give it back to you when you finish your rotation.
All elective evaluation forms must include the following information:- your name,
- the course code (ABC.123.NY, etc.)
- the name of the elective,
- the beginning and ending date of the experience,
- and the location at which you did the elective.
There are two types of this form: - Emergency Contact
This form will be used only in the event of an emergency. It is important that the Emergency Contact Form remain current. Please notify the Office of the Registrar, in writing, of any changes. - Enrollment Verification

Present the form to your supervisor at the start of your experience and ask him or her to complete it and return it to you in a sealed envelope with his/her signature across the seal as soon as you complete the elective, so that you may bring it back with you when you return to WCMC-Q.

Once you have obtained a sponsor for your desired Independent Elective, you must obtain the signatures of both that individual and your advisor on an Independent Elective application form. Please provide a brief, descriptive title for your experience- akin to the sort of wording that would come to the left of a colon if you were giving your course a journal-type title. The signed form must be on file with the Registrar before you begin your independent experience.
The course code for independent electives is IND.801.QH.
Sponsors will not receive a roster with evaluation forms for any independent electives; so, you will be responsible for delivering to your sponsor the required Elective Evaluation form with the entire top section filled out by you. returned to the Registrar at the completion of your experience.
